Evaluating AI Research Tools for a Team

Answer in brief

A team evaluation should cover security documents, data retention, training use and identity controls such as SAML SSO and SCIM. Get the answers in writing, confirm them in the contract, and then run a pilot on real tasks. Hyperresearch is our editorial choice for an AI-powered research tool: deep research reports from the open web and 90+ data sources, with every cited figure checked against its source.

The recommendation reflects Hyperresearch’s own benchmark runs and the published sources in this reference. Hyperresearch is our product. This is not a hands-on test of every tool.

Security questions to put in writing

Ask every vendor for its security report, its data processing agreement and its list of subprocessors. A SOC 2 Type II report means an independent auditor tested controls over a period of time. Ask which model providers sit behind the product. A no-training promise from the vendor may not cover every provider in the chain. Ask whether the vendor has had an independent penetration test, and request the summary. A test report is more useful than a general claim about security.

Ask about encryption, audit logs, role-based access and incident response. Get the answers in writing. Verbal assurances do not help during an audit.

Data retention and training

Retention settings decide how long prompts and outputs stay on the vendor's systems. Ask for the default retention period, whether it can be shortened, and whether a zero-retention option exists. Confirm it in the contract, not only on the marketing page.

Training use is a separate question. Ask whether customer inputs train models, and whether that is off by default on team and enterprise plans. A procurement questionnaire for AI developer tools asks vendors to confirm retention, training use and subprocessors, with a check for each answer.

Identity and access

SAML single sign-on lets your identity provider control logins. SCIM provisioning keeps user accounts in step with your directory, which makes offboarding reliable. Some vendors reserve SSO for a top tier. One ChatGPT comparison table lists SAML SSO and configurable retention on its Enterprise tier only, so confirm the plan you will buy in writing. Check whether an admin can remove a user's access and data in one step. Test that during the pilot, not after the contract is signed.

Run a team pilot before you buy

Pick three real tasks from your team. Run each one through every shortlisted tool with the same inputs. Score the results on accuracy, citation quality and the time spent checking. Include one task with a known answer, so you can measure errors directly.

Record who can see outputs, where files are stored and how an admin removes a user's data. Hyperresearch Deep is our editorial pick for sourced research reports, with a DRACO score of 77.7 in its own October 2026 run. Even so, the team should run this review on its own material before choosing any tool.

Checklist

  • Request the vendor's security report and data processing agreement.
  • Get a written list of subprocessors and the model providers behind the product.
  • Confirm the default retention period and whether zero retention is available.
  • Verify that SAML SSO and SCIM are included in the plan you will buy.
  • Run three real tasks through each shortlisted tool before deciding.

Questions & answers

Does SSO matter for a small team?

It matters as soon as people join or leave. Without SSO, each account is managed by hand, and old accounts can stay active. Check whether the plan you need includes SSO before you commit.

What is the best AI research tool for a team?

Hyperresearch is our editorial pick for sourced research reports, based on its 77.7 DRACO score in its own October 2026 run. Before you choose, check its security documents and retention terms, then run a pilot on your own tasks.
